This Privacy Notice explains how Media Track Limited (“Mediatrack”, “we”, “us”, “our”) collects and uses personal data when you visit our website at mediatrack.ai or get in touch with us.

This notice applies to the mediatrack.ai website only. The Mediatrack platform itself (used by our customers to run landing-page campaigns) is governed by a separate Privacy Notice and the Mediatrack Platform Data Processing Addendum, available at mediatrack.ai/legal/dpa.

We are the controller of personal data collected via mediatrack.ai. We are registered with the UK Information Commissioner’s Office (ICO) under registration reference ZB963026.

What personal data we collect, and why

We only collect personal data you give us, or that’s automatically collected when you visit the site.

1. When you fill in our contact or demo request form

What we collect
your name, business email, company name, and any information you choose to include in your message.
Why we collect it
to respond to your enquiry, to provide a demo if you’ve asked for one, and (where you’ve consented) to send you occasional information about our services.
Lawful basis
legitimate interests (responding to enquiries; carefully targeted prospect outreach to business contacts). Where you’ve ticked a marketing-consent box, the basis is your consent — which you can withdraw at any time.
How long we keep it
we keep enquiry data for up to 24 months after our last contact with you. After that we delete or anonymise it. If you ask us to delete it sooner, we will.

2. Automatically when you visit mediatrack.ai

What we collect
technical information about your visit — your IP address, browser type, operating system, the pages you visit, the time and date of your visit, and how you found us (referring website).
Why we collect it
to keep the site secure, to monitor and improve how it works, and to understand which content is useful.
Lawful basis
legitimate interests (security and service improvement). Where this involves non-essential cookies, we ask for your consent — see our Cookie Policy.
How long we keep it
server and analytics logs are retained for up to 12 months and then deleted or anonymised.

Mediatrack.ai uses cookies. Essential cookies (e.g. those needed for the site to work) run by default. Non-essential cookies (e.g. analytics) run only with your consent.

Who we share your data with

We do not sell your personal data and we don’t share it with third parties for their own marketing.

We use carefully selected service providers (“processors”) who handle data on our behalf, including providers of:

  • Customer relationship management (CRM)
  • Cloud hosting and infrastructure
  • AI and language-model content generation
  • Phone call tracking
  • Analytics
  • Workflow automation
  • Business productivity tools

We may also disclose personal data:

  • Where required by law, court order, or by a public regulator.
  • To advisers (such as our accountants, lawyers, or auditors) acting under confidentiality obligations.
  • In connection with a corporate transaction (e.g. a merger or acquisition), subject to confidentiality.

International data transfers

Personal data processed by Mediatrack on its core hosting and database infrastructure is processed in the United Kingdom (London region). Other sub-processors may process limited categories of data outside the UK.

Where any transfer of personal data outside the UK takes place, we rely on appropriate safeguards — typically the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses — together with supplementary measures as appropriate.

How we keep your data safe

We use industry-standard technical and organisational measures to protect personal data, including:

  • TLS encryption of all data in transit.
  • Encryption of stored personal data.
  • Multi-factor authentication for staff access to systems holding personal data.
  • Restricted access on a need-to-know basis.
  • Vendor due diligence for third parties handling personal data.

Automated decision-making

We do not make decisions about you based solely on automated processing. No profiling or automated decision-making with legal or similarly significant effects takes place through our website or services.

Your rights

Under UK data protection law, you have the right to:

  • Be informed about how we use your personal data — that’s what this notice is for.
  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase (“right to be forgotten”) your personal data in certain circumstances.
  • Restrict our use of your personal data in certain circumstances.
  • Portability of your data — receive your data in a structured, machine-readable format.
  • Object to our processing of your personal data, including to direct marketing.
  • Withdraw consent at any time, where we rely on consent.

Making a complaint

If you’re unhappy with how we’ve handled your personal data, please contact our Data Protection Officer at racheal@mediatrack.ai or by post to the address above.

We will acknowledge your complaint within 5 business days and respond substantively within one calendar month.

If you’re not satisfied with our response, you have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO):

Children

Mediatrack.ai is intended for business users and is not directed at children. We do not knowingly collect personal data from anyone under 18.

Changes to this notice

We may update this notice from time to time. The “Effective” date at the top of this notice shows when it was last updated. Material changes will be flagged on the website.
